Refund policy
Standard
If you buy a ticket and later find that you can’t attend, we will refund you, deducting £10 for administration. BUT if you make the request for a refund less than six weeks before the larp, then we will only refund you if we can find someone else to take up the ticket — and if we have to offer it at a discount, then your refund will be reduced accordingly.
Flagging policy
Sadly, our hobby has sometimes shown that it contains people who are not safe to be around. We as organizers need your help here – we don’t know the names of everyone who is a concern in this way. We also want to make sure that you feel comfortable with the people who are around you during the event.
We will circulate the names of prospective attenders to you, and you can if you wish raise the following flags:
Food
The food served at Reunion will be vegetarian. If you wish to eat meat, you are very welcome to bring it yourself – all of the bedrooms have fridges and microwaves.
Drink, drugs, and smoking
There will be no real alcohol in play during Reunion. The reason for this is that we want to allow safe play around potential intoxication: and we feel this is not possible if one can't tell if a person is 'larping drunk' or is actually drunk.
There will be plenty of fake alcohol provided. Zenith Records probably don't want all the talent getting too drunk and starting fights or whatever, but they may want to get people 'merry', or to a place where judgement is clouded… there will be a 'mixer' party on Saturday night, for this purpose.
Also, characters who want to play on alcohol abuse are welcome to smuggle in a secret stash of fake alcohol.
We will provide alcohol at the after-party on Sunday evening. And you are welcome to bring your own alcohol to drink at the after-party, or on Friday evening after the workshops have finished, although please don’t drink this during the larp. There are fridges available in your room if you want to e.g. keep a bottle of wine cool.
Of course, we ask you to use common sense. If someone tells you to go to bed then it’s probably because you are, or seem, a bit drunk and not in control.
So here is a summary:

We also want to make sure that you feel comfortable with the people who are around you during the event.
We will circulate the names of prospective attenders to you, and you can if you wish raise the following flags:
- Yellow flag – I don’t want to be given a close relationship with this person. This is for allocation purposes only, and won’t affect yours or the other person’s chance in the lottery. Chose this if you don’t believe that the person is unsafe, but for personal reasons you are unable to play closely with them. However, please be aware that as Reunion is a small larp, you are unlikely to be able to avoid them entirely.
- Orange flag – I'm unable to attend if this person is participating. Choose this if you don’t believe that that person is unsafe, but for personal reasons you are unable to attend an event that they’re at. In this case, whichever of your or their names is allocated a ticket first will be prioritized.
- Red flag – I believe that this person is unsafe to larp with. Examples of this might be bullying, harassment, or abuse. You don’t have to give a reason for red-flagging a name. Someone who has been red-flagged will not be allowed to attend Reunion. We will not tell them who red-flagged them, or why.

So here is a summary:
- Before the larp – no alcohol during the briefings and workshops. After they are finished on Friday night, you can drink from your own supplies if you wish, but we won’t be providing anything at this time.
- During the larp – no alcohol during the larp. You can bring faux alcohol to drink from your character’s ‘secret stash’.
- At the in-larp mixer party – we will provide lots of faux alcohol, and some faux champagne (alcohol-free sparkling wine) to toast the celebratory speeches etc. We will have some nice soft drinks too, for those characters who are avoiding alcohol, eg. sparkling grape juice for toasting with.
- At the after-party – we will provide real alcohol (and also nice soft drinks). People can also drink their own alcohol that they’ve brought.
- Before, during, and after the larp – no real recreational drugs of any kind.
- During the larp – characters can take faux drugs as they wish, and people wishing to should bring these themselves – we are not providing anything.
- No smoking or vaping (or faux-smoking or faux-vaping) anywhere inside the house – you can do so outside (in or out of character) but please not near an open door or window.
Safety Policies
We have some important policies that we want to have observed at Reunion; our general policies regarding respect, inclusion, and safety are here: https://larpsonlocation.wordpress.com/policies/
We believe that the physical and emotional safety of players is the most important aspect of larp design. Players are more important than the larp, and player safety and comfort is our priority.
It is important that players are able to set and respect boundaries, to say safe words, and to be able to speak with the organizers if any issue arises. If you believe that you may have trouble doing these things, then this larp is not for you.
There will be an offgame room during the larp.
